The Visiting International Professional Program (VIPP) is a part of the MSU International Studies and Programs (ISP), which provides non-degree certificate programs for international visitors for professional development and capacity building. VIPP is currently seeking a highly motivated, collaborative, dependable, and organized student assistant to aid the office manager in maintaining office functions within VIPP. The student assistant may also perform front-desk office receptionist duties.
The student assistants will work with VIPP staff to help with the organization and running of the daily administrative operations. This position requires handling multiple tasks and prioritizing work in a busy, high-performance work environment with frequent interruptions. Whenever appropriate, the student assistant may also be asked to work on short-term special projects or assist the program coordinators in preparing various documentation for VIPP participants. Detailed briefing and training are provided.
Responsibilities
- Organize office and assist staff in ways that optimize procedures
- Create and update records ensuring accuracy and validity of information
- Monitor level of supplies and handle shortages
- Maintain trusting relationships with suppliers, customers, and colleagues
- Perform receptionist duties when needed
Skills
- Experience as a back-office assistant, office assistant, or in another relevant administrative role
- Working knowledge of office equipment
- Excellent organizational and time management skills
- Analytical abilities and aptitude in problem-solving
- Excellent written and verbal communication skills
- Proficiency in MS Office
Qualifications
Required:
- Highly organized and self-motivated, with exceptional attention to detail
- Strong oral and written communication skills
- Demonstrated ability to work effectively with international scholars and students
- Proficiency in word processing, spreadsheet, database, calendaring, and/or presentation software
Desired:
- Native or near-native language skills in one of the following languages: Chinese, Kazakh, Korean, Russian, or other
- Experience or interest in working with individuals from diverse cultures
- Strong interpersonal and cross-cultural communication skills
- A clean driving license
Work hours: up to 20 hours per week
Work Mode: Flexible (remote work might be considered)
Payment: $15 per hour
